Participant's Diary
This is an instrument developed with the purpose of helping participants, both from youth exchanges and mobilities of youth workers, to integrate their knowledge, to make notes during the activities in the same place and to have a proper space for reflections and personal notes. Also, this tool is including the description of Youthpass competencies and space for participants to reflect and write how they developed each competence during the activity.
Group Reflection Time
This is a method for helping the participants to reflect over their experience during the activities and to become aware of their knowledge, competencies, abilities and personal development. The methodology has several steps:
1. The trainers/ facilitators are splitting the group in 4 or 5 smaller groups (depending on total number, but the ideal number is 5 partiicpants per group), using multicultural criteria (preferable to be one from each country)
2. In the timetable of the activities, at the end of each day, 30 minutes are reserved to the Reflection Time
3. The Reflection groups need to talk about their experience and have a peer debriefing time
4. Each day, they receive a worksheet that would reflect their feedback from that day. They are completing it and are giving it to the trainers/ facilitators
5. Trainers/ Facilitators are integrating the feedback from each day in their group dynamic strategy, in order to create a safe space for everyone and a great learning opportunity.
Registration Forms
This is the method through which we are collecting all the needed information from the participants, before the youth exchange or mobility of youthworkers, in order to be updated regarding their personal datas (needed for documents, Youthpass etc) and the logistic aspects (food requirements, arrival and departure times, emergency contact persons etc.
Feedback instruments
This is the methodology that we are using in the last day of the activity, no matter if it is for youth exchange or mobility of youth workers. The final evaluation methodology includes the following steps:
1. Recap of the week, made with all participants, using the main method of the activity (for example, create a story of the week - if the methodology is storytelling, create a game narrative to reflect the week - if the method is gamification, create a choreography of the week - if the method is dance therapy etc).
2. Remember me - a nonformal methods in which the participants have the opportunity to give feedback one to another. The method depends on the group flow, but can be speaking in the circle, writing on a back of a paper, writing on a T-shirt etc.
3. Individual Feedback Paper - a worksheet in which the participants are writing (without writing their name), the descriptive feedback for the activity, including: what they liked, what can be improved, what surprised them and other thing (free style).
Training Evaluation Eform
This is an evaluation instrument that we use at the end of each mobility of youth workers. The eForm includes questions regarding the logistic aspects, relation with trainers/ facilitators, evaluation of the entire team, group dynamic, impact of each training/exchange session.
